The Reception Coordinator position provides information and assistance to callers, clients, community partners, and visitors at our New Family Centre in Montgomery. The Centre Receptionist helps to coordinate the work of administrative volunteers at the front desk, oversees room booking and hospitality needs, and facilitates communication with Family Centre staff. We are looking for a dynamic ‘people-person’ who can take initiative, is good at problem-solving, and has a desire to help us create a welcoming, supportive environment and contribute to a healthy workplace culture.

This is a Full Time (40 hours per week) role, with work hours that typically fall between 8:30am – 5:00pm, Monday to Friday

The wage for this role is $26 per hour

Primary work location: 1804 Home Road NW

Responsibilities:

  • Receive clients/visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
  • Accept donations of goods.
  • Maintain the calendar system of room bookings for internal and external programming, including our new Family Mental Wellness Hub.
  • Welcome and support partner agencies and provide support around their program needs.
  • Respond to telephone inquiries in a helpful & friendly manner. Forward calls and messages as needed.
  • Keep reception and waiting areas are tidy and verify that brochures and program information are in place. Ensure proper set-up, cleanliness, and hospitality supplies in shared program spaces and assist in setup of spaces for partner agencies.
  • Receive and sort daily mail and packages and forward to appropriate departments.
  • Monitor and maintain administrative supplies and inventory.
  • Maintain site security by following safety procedures and controlling access via the reception desk (monitor logbook of guests).
  • Perform other clerical duties as needed such as photocopying, data entry, and expense reports.
  • Work closely with the Family Resource Network (FRN) team and the Family Mental Wellness Hub team around logistics planning and coordination
  • Weekly/Daily updates and events schedule
  • Work with the Executive Assistant and Manager of Operations to address operational tasks within the Centre (vendor relations, inventory maintenance, Board meeting support, review of systems and processes in relation to OHS standards, etc.).
  • Help support special events on site as needed.

Supervision of Reception Volunteers:

  • The Family Centre Reception and administration will often have volunteer reception and hospitality support present. This position will help ensure that volunteers have a workspace, work materials/tasks, and are supported while on site. The receptionist will assist the Volunteer Coordinator with scheduling and supervision of the volunteers.

Qualifications:

  • Minimum five years in a reception position
  • Knowledgeable about MS Office tools, skilled in using Office 365, SharePoint and Teams; experienced with data entry and data bases
  • Excellent communication and people skills
  • Resourceful and experienced with technology set-up and problem-solving for presentations
  • Self-directed with the ability to be resourceful and proactive when issues arise
  • Strong organizational and time management skills
  • Professional attitude and appearance
  • Positive adaptation to change
  • Previous experience in a nonprofit environment is an asset
  • Must have a valid driver’s license and access to a reliable vehicle.

Pre-Employment Requirements:

  • A Police Information Check at commencement and every three years, which includes a vulnerable sector search, is a requirement to maintain employment
  • A Child Intervention Record Check at commencement and every three years, which includes a vulnerable sector search, is a requirement to maintain employment
  • Proof of Education (original Documents) required as part of commencement.
